Saving to PDF Format in Microsoft Office

Starting as an add-in with Microsoft Office 2007 and incorporated as out-of-the-box functionality in Office 2010, users have the ability to save files directly to PDF format. This post will provide step-by-step instructions to show you how to utilize this feature.

Microsoft Office 2007 Users

  1. Download the Microsoft Office 2007 ‘Save As PDF’ Add-in and save the file to your hard disk (SaveAsPDFandXPS.exe).
  2. Double-click the saved file (SaveAsPDFandXPS.exe) to launch the installer.
  3. When prompted, check “Click here to accept the Microsoft Software License Terms.” and press “Continue”.

  4. After the installer finishes, click “OK”. Microsoft Addin - Install Complete

 

To utilize this feature, open a Microsoft Office document/file.
  1. When ready to ‘Save as PDF”, select the Office Menu icon in the top left of your screen.
  2. Choose “Save as” and press “PDF or XPS”. Microsoft Office 2007 - Save as PDF
  3. Name your file and choose “PDF” or “XPS” from the “Save as Type” menu. Microsoft Office 2007 - Save PDF File Name
  4. When finished, press “Publish”. Your final PDF will open.

 

Microsoft Office 2010 Users

Users that have Microsoft Office 2010 will not need to download a special add-in from Microsoft. The “Save as PDF” functionality is built in to the software.

To utilize this feature, open a Microsoft Office document/file.
  1. When ready to ‘Save as PDF”, select “File” in the top left of your screen and choose “Save As”.Microsoft Word 2010 - Save As Menu
  2. Name your file and choose “PDF” or “XPS Document” from the “Save as Type” menu. Microsoft Word 2010 - Save As PDF
  3. When finished, press “Save”. Your final PDF will open.
